The challenge

Clients want to know where their project is. The information already exists in the project management system, but turning it into something a client wants to read takes an hour a week per project — and it is the first thing that gets dropped when delivery is busy, which is precisely when the client most wants to hear from you.

Where we came in

This is the shape of AI work we recommend to clients, built for ourselves first: a narrow, well-defined job where the source data is already structured and a human still approves the output. The prompts are editable per audience because an internal update and a client update are different documents, and pretending one prompt serves both is how these systems lose trust.

What we did

  • Connected directly to the project management system rather than asking anyone to re-enter status
  • Generated audience-specific drafts, with separately editable prompts for external, internal and development readers
  • Kept the model provider swappable across several vendors rather than hard-wiring one
  • Built a dashboard covering project overview, costs and send history so the output is reviewable
  • Scheduled delivery on a fixed weekly cadence with automated email dispatch
  • Retained human review before sending rather than letting the agent post unsupervised

Where it landed

  • Weekly client status updates are drafted from live project data instead of written from scratch
  • Different audiences get appropriately different reports from the same underlying data
  • Reporting happens on schedule during busy delivery periods, which is when it used to stop
